Once you've created tables in a Access databases, you can use the magic of Access queries to change how you view the data in these tables. A query normally lets you view the data in different ways without actually changing any data. This article takes at look at the different kinds of queries Access offers you. There are two main kinds - queries which list but don't actually change anything (Select queries) and queries which do change data (Action queries). We'll start with the Select queries.

Maintaing Work-life Balance For The Good Of Your Business

We all understand the importance of hard work.  Any organisation, regardless of size or industry, relies on its staff putting in the effort to keep the business progressing.  But, as vital as individual and collective effort is to a prosperous future, is it possible that some or all of a company's employees might be overworked?

Managing Conflicts At Work

Humans generally strive to avoid conflict at all costs, whether it's at home or work. Unfortunately, conflict is an inevitable part of life - even if you're not in a conflict yourself, you can still be affected by one going on with someone else. It's not pleasant, but needs to be dealt with promptly and effectively.

Learning From Past Mistakes: A Project Manager's Perspective

Have you ever had the feeling that your projects are becoming more and more difficult to complete and status review meetings which used to be a pleasant exchange of highs and lows are now focused on ironing out problems and complaints? In fact, when you look at your dashboard, are all of your projects struggling to meet their deadlines? You pride yourself on running a well-oiled machine but lately it feels as though someone has put a spanner in the works and your project management is not as well managed as it used to be.

Working Together For The Better, With Word 2010

Many hands make light work, so they say, whoever 'they' are. A wise they, certainly, in this respect at least. Many hands do make light work. A problem solved is indeed a problem halved. There's no 'I' in team. The last of these is, perhaps, a little trite and cliched, but the abiding principle here is clear: working together makes for a more successful result. So, by extension, 'they' might say that it's important to have the means to facilitate team working, to make cooperation easier. But enough of them. What about you? What about your business?

Time Is Precious, And Maintaining A Good Work-Life Balance Is Vital

Imagine that you need a new car. You go to the showroom, but have no idea what your budget is - so how can you really buy anything? You could end up spending far more than you ought to, leaving a serious hole in your bank balance; you could end up spending far less than you can afford, and wind up with a banger that causes you more hassle than its worth. Alternatively, what if you're hosting a dinner party, but have no clue how many are coming? You could cook too much and be wasteful, or too little and have a very uncomfortable evening.

PowerPoint Keeps You Upwardly Mobile

First there was blogging, or weblogging; then came vloggig, blogging using video; and now there's moblogging, short for mobile blogging. When mobile phones first incorporated cameras, few of us could have foreseen the full impact they would have on our everyday lives. Moblogging is a term that has evolved as our phones have got smarter with apps for producing high-quality video. And the joys of moblogging have also inspired the use of video in PowerPoint presentations.

Skills Required For Good Project Management

To give you just one example of the challenges faced by the project manager I remember when I was employed as such in the office of a busy marketing firm and we took delivery of 500 flyers that had been guillotined incorrectly. On the right side of these flyers the text ran off the edge of the page, making them useless. They were delivered the day before the client was due to collect them and, to make matters worse, the flyers advertised an event that was only ten days away.

Discover Decisive Details In Your Data, With Access 2010

There's a lot to be said for databases. Not, perhaps, a lot that's terribly riveting - most airport bookshops have a distinct lack of database-centric thrillers for reading on holiday - but databases nonetheless play a substantial and important role in business today. Whether managing staff details, examining accounts, recording client and customer activity, monitoring stock, maintaining a mailing list, or whatever you choose to make of it, databases allow a vital and reassuring certainty that the information the company needs is always at hand.

Ways Your PRINCE2 Plans Could Come Unstuck

We all know what happens when a project goes wrong in a big way: staff whistle blowing on poor policies or cover ups, huge overspends, and worse: not delivering the results that were so achievable at the start if everything was organised and controlled properly. Now, we're not saying that if you don't stick to PRINCE2 like glue, you're going to come unstuck, but these larger disasters are rare, even with the worst project management! Naturally, being a good project manager and fully adept at PRINCE2, you're likely to be running a smooth project - IF you spot these usual errors or bumps in the road.

How To Overcome Stress When You Are Presenting

If you were asked what you would not allow your best friend to buy, eat, drink or use in an effort to keep them safe and sound, what would you advise avoiding? A famous road safety advertising campaign was based on this very theme in an effort to encourage the American public not to let their friends drink and drive. Included in the list of what any caring person would not allow their friends to do was to use a certain program to create a presentation. And it was exactly this fear of presentation technology failure that created a genuine sense of panic among presenters.

The Magic Of Microsoft Word

In my opinion David Blaine is one of the best magicians of recent times. He did court controversy in later years with some of the stunts he performed, but the early series' of Street Magic are about as good as it gets and the intimacy of having the audience right there participating adds to the wonder. Memorable tricks include an astounded driver whose watch moved very mysteriously and the sheer delight on the face of a down-and-out as his cup of coffee literally overflowed with coins. Although I have been using a word-processor for many years now, and a manual typewriter for many before that, I do not possess great typing skills and so I still have to look at the keys rather than the screen as I type. Why Micromanagement Has A Negative Impact On Your Team's Performance

Micromanagement! Chances are you will be familiar with the term and you may even have been unlucky enough to come across a manager who uses it. What exactly does the term mean? Basically, when a manager keeps track of every tiny business step and is requiring constant updates on everything, no matter how small, this can be classed as micromanagement. Usually this kind of manager will not appreciate employees who work on their own initiative and make decisions for themselves as they will want to be consulted on everything and they will consider it to be their right. Employees are there to perform the tasks set precisely as the manager wants them done and will not be included in any decisions.

How To Use The Cell Styles Functionality In Excel 2010

In previous versions of Excel, when building a table manually, the colour scheme has been overlooked as superfluous. When a request for a simple output of data is made, often data teams do not have time to make the data look particularly presentable as it was time consuming. They also do not always realise the importance of making data presentable as well as correct. The potential to create data in an aesthetically pleasing way should not be dismissed as worthless. Data output can look more professional and give the person you are sending it to, the confidence to believe you have taken care over what you have sent them. Confidence in your approach means they will have confidence in your data.

The Spell Checker - My American Ally

Oh, the irony of it. Last month I wrote an article called Spell Checker - Friend or Foe? in which I highlighted some of the ways in which the spell check function can actually work to your disadvantage, such as when typos that are made still form existing words and so mistakes slip through the net. Soon after this article was posted, however, it was pointed out to me that I had misspelled the word 'pencilled' by using only a single 'l'. I found this odd because I always spell that word with the double 'l' and besides I had spell checked it before I submitted it, and no squiggly line appeared underneath the word. I did a check by typing 'pencilled' in Word, and the answer became apparent immediately, and it is yet another cautionary tale from the rather complex world of the spell check function

Word Lets You Speak The Same Language With XML

From AAC to Wi-Fi, technology has an abundance of acronyms, initialisms, alphabetisms and other abbreviations. For many, however, much of this techno babble leaves us lost in space. Take XML, for example: as soon as these three letters are mentioned in relation to any Word application, some of us tend to glaze over. For those of us who have switched off at the very mention of XML, it's probably time to find out what it's all about.

Now Is The Time For The Quick Access Toolbar

A new trend reflecting how we use technology to assess and tailor our everyday lives is in the use of 'persuasive technology' for healthcare. Today, sensor-based and mobile technologies are being developed to encourage, entice or even coerce people to become healthier through taking more physical exercise. Sensing and monitoring devices are used to measure bodily functions, such as heart rate and other electrodermal responses. These responses are analysed along with the amount of exercise someone performs such as number of steps taken or laps swam.

Spell Checker - Friend Or Foe

The job of the proofreader has been made considerably easier since the advent of Microsoft Word. Gone are the days where corrections were pencilled into margins of typewritten A4 sheets as the spell check function highlights all of those grammatical gaffes and keyboard clangers . To be honest I just see these squiggly lines as saying something is wrong, but they are colour coded, the main ones being green highlighting grammatical errors and red spelling ones. So thanks to the introduction of the spell checker, proofreading that novel is simply a matter of hitting F7 and sifting through the squiggles, isn't it?

Some time ago I gave an example of a basic Find and Replace function in which the name of a character was replaced throughout a long story at the click of a mouse. How To Make Your Brand Consistent With Word

The word brand has evolved in its meaning from an impression, to a logo, to a whole lifestyle synonymous with style and sophistication. The brand was once an object used by craftsmen to identify their work, by either a signature or a distinctive symbol particular to them. What was used to form an impression and to signify ownership is now a term used to encompass the actual process of forming an impression.

How To Use The Spelling & Grammar Tool And Avoid Braking Rules

You may be embarrassed to admit that you are not entirely certain how to spell commonly used words such as embarrassed - but you are not alone. In a survey last year, more than half the adult population in the UK had trouble spelling at least one word on a list of 10 commonly used. 'Embarrassed' was the most frequently misspelt, with 54% of Britons getting it wrong (and 62% of Americans). One in three of us have so much trouble trying to spell, that we are not confident enough to fill in an application form without resorting to a dictionary or spell checker.

Disabling The Nuisance Insert Key

One of the must-watch TV shows from my childhood was The Monkees; the completely madcap adventures of a pop group comprising three Americans and a young Englishman. The main piece of trivia associated with the show (apart from the fact that most of the backing tracks on the Monkees albums were not played by the Monkees at all, but by a band called Candy Store Prophets) was that the mother of guitarist Mike Nesmith (the one in the hat) invented correction fluid and it is a genuine rags-to-riches story.

Top Word Troubleshooting Tips

It happens to the best of us. You've just written than all-important, crucial urgent document, and then - wham! Word freezes. Or doesn't respond. Or you get what folk call the "blue screen of death" - a fatal error page. Sweating, you furiously try and click save. Sure, the autosave feature was turned on but you're so brilliant you did rather a lot in the last ten minutes since it quietly saved your work in the background. If you're a writer, oh no - will you be able to revisit the inspiration, the 'groove' you were just in? There's the handy built-in recovery tool, but will it work this time in the way you're hoping? Panic, panic panic.

Using Headers And Footers In Excel 2010

It is inevitable that when you use Excel a lot, somebody will eventually want to print out a page of data. Even if you make a habit of emailing data to those who require it, they may want to print it off to look at a paper based version. People work in different ways and as the designer of the sheet it is important to be considerate to those needs if possible. It is therefore worth considering this when you create a spread sheet.

Why Being A Yes Man Is A No-No For Assertiveness

Being a 'yes man' or being surrounded by 'yes men' can be equally frustrating and seriously detrimental to performance. A manager who likes to see a meeting room full of smiling, congratulatory faces that are agreeing with everything he/she says will certainly not get the best from their staff. Ego is fine in its place, but should not be the focus of a manager or an office. A manager should be able to see that staff with a variety of opinions and experiences will enrich the working environment and generate ideas, good working practices and high performance levels. If people are concerned with getting a pat on the back for agreeing with a manager rather than doing the best job possible then quality of work will suffer.

Managing A Team Remotely: Issues And Considerations

Many of us have to manage parts of our job remotely, whether it's replying to an email on our laptop whilst on the train, or texting someone to ask them to attend a meeting when you're out of the office. If you've taken the big step to allow some members of your staff to work entirely away from the office, here are some issues and considerations to bear in mind. There are challenges and problems that will rear their head that wouldn't normally occur if your staff were in the office where you can supervise them on a more personal level. Although flexible working can be extremely beneficial to the business and the employee, you'll need to look at all angles before you can fully integrate a flexible working style into your business.

Carbon Copy And Blind Carbon Copy

Carbon paper was invented in 1806 by Ralph Wedgewood of London, who soaked thin sheets in ink made from the pigment carbon black, and then dried them in blotting paper. His inspiration was not to make the lives of typists easier; the invention of the typewriter was still many decades away, rather he was trying to develop a machine that allowed the blind to write (and, curiously, it was Alexander Graham Bell's experiments in phonetics to aid the deaf that led to the invention of the telephone). Wedgewood was long dead before the mass production of typewriters saw his invention become an essential part of the stationery cupboard in almost every office.

How Office 2010 Can Save The Day

It's difficult to put into words: that sinking, helpless, frustrating, maddening feeling we get when we realise we have just closed a document without saving. Whatever the reason, the result is the same - our work and the time we spent creating the document have been lost. Well, not anymore! Microsoft Office is renowned for the outstanding individual applications that make up the package. These applications are as good as it gets for stand-alone utilities, but they also work very well together. Organisation: Be A Felix Not An Oscar

I recently came across some re-runs of The Odd Couple, an American sitcom that I used to watch as a youth. The premise of the series, which was based on a film, which was based on an original stage play, is that divorced sports writer Oscar Maddison takes in his friend Felix Ungar after the latter's marriage breaks up. What transpires as these two men share the same living space is that Oscar is the world's number one slob, while Felix is a stickler for tidiness and organisation. This premise, with friction and conflict never far away, was so rich in possibilities that the TV series ran to 114 episodes. Who better then to demonstrate the rights and wrongs of organisational skills that this pair?

Effective Communication On Different Levels

Back in Victorian times some children would spend their days stacking freshly fired bricks in a builder's yard rather than enjoying games in a school yard. Education came fairly low down on the list of priorities as children as young as five were of more use to their families as providers than pupils. Whether they were up the chimney or down the mine, the vast majority of children from poor areas grew up illiterate as education was a luxury afforded only to those higher up the social ladder.

As we progress up the career ladder one of the biggest single advancements we can make is when we scurry up those rungs that take us from minion to manager. Having been cajoled by colleagues into applying for a promotion (go on, you never know your luck), our prospective manager sits nervously outside the interview room. He knows he will face a grilling and so he makes mental notes of what particular skills and attributes his employers will be looking for. How To Use Tabs To Show Lots Of Related Data On One Form In Access

It is rarely the case that an access database will contain lots of unrelated data. When designing a form to enter a customer, a simple customer form would do the job well enough. A user could enter the name and contact details on one page. There may be drop down boxes linked to other related tables such as the account manager. This would be a simple use of related data on a form. Usually more complicated forms are required since when a user looks up a customer, they may well want to see all the related orders on the same form rather than having to look them up in a separate place. One method of achieving this is through the use of tabs containing sub forms.

How To Filter And Sort Data In Access 2010 Tables

The advantage of having direct access to the data tables is that you don't always have to write a query or a report in order to get to the data you want to see. Sometimes it is necessary to check for a specific record or alter something directly in the table, without having to write a SQL statement to do it. For example, imagine a colleague has told you a record was entered, but something on it needs to be changed and they do not have permissions to change it from the front end. When you open the relevant table you are confronted with over three thousand rows and need to find the exact record. Using filter and sort can help find the correct record on the table.

The Importance Of Feedback To Management

Feedback comes in many forms and is a valuable commodity for checking what is being done well and which areas need further improvement. The value of feedback in any form should not be underestimated. An old Royal Mail advert once quoted the statistic that if a person is happy with a service they have used then they will tell one person about it. If they are unhappy with a service then they will tell nine. I know from personal experience that this is true because I tell everyone if I have been treated poorly so they do not suffer in a similar way. With such wide use of internet review sites, if you do not get feedback from your customers and act upon it then you may well find yourself damaged by the reviews as people can easily tell the whole world instead.

How To Engage Effectively With Your Audience

It's normal to get so caught up in the design of a PowerPoint presentation that you might forget about the delivery. You will spend time writing and editing your text, so that each point fits exactly on to a slide; images will be sourced, checked for copyright and may be edited using the array of picture tools in PowerPoint 2007; and your fonts and type sizes are all uniform and consistent as you have carefully selected a Theme to match your presentation from the Design tab.

So What Does Linking And Embedding Objects In PowerPoint Actually Mean?

This short article looks at what we mean by linking and embedding objects in a PowerPoint presentation. We often add items from Word or Excel to PowerPoint so this article focuses on linking and embedding into PowerPoint, but you can also link and embed objects between other Office applications. An object consists of part of a file, for example a Word table or an Excel chart, or it could be an entire Word or Excel file.

Ensuring Your Presentation Is Decent, Honest - And Legal

When you create a PowerPoint presentation, can you honestly say that you are sourcing and downloading images from a trusted source? Many of us have the luxury of being able to source logos, charts or images from a central library created for use within our own company, but sometimes it's crucial to find a visual reference from the wider world and that's when the internet is an unrivalled tool.

Focussing In On Picture Cropping With PowerPoint

Before the development of computer software to aid picture manipulation, designers were known to use two L-shaped pieces of black card to visualise a picture crop. The two shapes could be placed over an illustration or photograph to create a moveable frame. The cards were then easy to move in unison to create an area to focus in on - or a crop. Imagine the movie director visualising a frame with their hands on the set of a film - it is the same principal that designers and editors apply to still photographs.

Making The Perfect Pitch With Microsoft Office

A salesman isn't selling his products, he's selling himself. Whatever might be sold, however appealing the goods, services, proposals, ideas may be, so much can hang on how the seller comes across. After all, the would-be buyer needs not only to know what is being sold, but that they can have confidence in the seller to be knowledgeable, expert and trustworthy. More than that, though, the impression formed of the seller can often be a deal maker or breaker.

Microsoft Office's Virtual Memory Stick

The USB memory stick has been a great way of transferring large quantities of data from one computer to another. I have often saved a document or a spreadsheet to one of the many memory sticks I own so I can work on the file on a different computer, usually at home or on my laptop. I have prepared many PowerPoint presentations and saved them to my USB memory stick to take the presentation to the training venue. One draw back, I either lose the memory stick or forget to remove it from the PC. There is now an alternative to the physical USB memory stick and that is a virtual memory stick in the form of Microsoft's Office Live Workspace.

Excel And Access, Working In Harmony

Excel and Access. They can both seem rather similar. The appearance of the two is certainly rather alike, with rows and columns of boxes in which you can put whatever information you need. Indeed, there are many who will use one or the other exclusively, regardless of what kind of information they're looking to record - whether it be accounts or data.

A More Successful Fundraiser, With The Help Of Office

If you're looking to raise money for a worthy cause, there are times when rattling a brightly coloured bucket outside the supermarket just isn't quite enough. Of course, that has its place, as do raffles and runs and stalls at a fête or market, pillars of the charitable effort. Sometimes, though, you may be inclining towards a large fundraising event, the big push to charm the great and good and philanthropically inclined, and the need to impress becomes all-important.

Joseph And His Chart Of Many Colours

Joseph was a hippy back in the heyday of flower power. He attended various pop festivals where he painted flowers on fellow hippies' faces and danced naked in the rain. He was convinced back then that the way forward was through peace, love and harmony. Soon after this the flowers wilted and Joseph set himself up in business selling rather tasty bran muffins. His hippy ideals went out of the window as he became a hard-nosed businessman in the muffin market.

How To Use Conditional Formatting In Excel

Conditional formatting in Excel is an extremely useful tool, enabling the user to quickly and easily create a visual impression of the data. It is extremely versatile allowing the user total freedom on the method and style of the formatting. The format of the cell itself changes dependant on the parameters set by the user so the data and the visual aid is in one place. Sometimes a list of numbers does not show the trend as well as a visual aid. Sometimes a visual aid such as a graph does not show the detail of the data. Conditional formatting can add coloured bars, coloured scales or coloured icons to show if the number is a good, bad or average and combines the visuals with the data to give a simple yet complete picture.

Creating Tables Automatically In Excel 2010

It used to be the case that users would have to add data to a spread sheet and then manually format the data into a table. This manual process is made far more efficient with the automatic table tool, which can turn the data into a functionality filled and beautifully designed table. Using this option gives the user freedom to customise the styles of the tables rather than using the standard default style when you insert a table manually. This article will examine how to use this functionality.

Migrating Project Management From Excel To Project

Projects often start in Excel for good reason - if they're small, have few resources, and do not need a more complex system. Sooner or later, hopefully as you rise in the management ranks to project manager, you will need a more flexible system designed solely with project management in mind, rather than using a spreadsheet program. There is, of course, nothing wrong with using Excel to manage a small project, but using a dedicated program will make it much easier as the size and complexity of your work demands increase.

Body Language: Things That Speak For You

As any good communications skills guru will tell you, actions can sometimes speak louder than words and the way we present ourselves physically can be interpreted much more powerfully than the words coming out of our mouths. If you've never analysed how you look when you speak, this is the time to do it. Of course, many of us make adjustments depending on who we're speaking to and what the situation is, but these tips can help you be more self-aware of body language, no matter what the communication scenario.

Team Building On A Budget

One of the essential elements of Project Management is first assembling a team, and then building it from within. "Team Building" usually evokes cringe worthy memories of new employees been forced to do activities they'd rather not, or - if you've had a good session, it could be the icebreaker and bonding exercise that gels your team, lets them get to know each other, and lets them get on. In today's economic climate, budgets are being cut, and expensive corporate team-building events from external suppliers are likely to be one of the first things to go. Project managers are therefore left with wondering how to run a team building event or session with lower budget constraints. Here are some ideas of tried and tested ways to get a team to co-operate rather than cringe.

Better Teamwork For A Better Project

There's a lot of responsibility in taking charge of a major project for your business. A vital element of the company's future might rest on your carrying through the project to a successful conclusion. Yet you won't be working on the project alone; a significant operation requires a focused and coordinated effort by a whole team. How, then, can you be sure that the team you're leading towards the project goals will be able to achieve them?

Traits Of An Effective Team

There are two essential elements when thinking about team building. One is if you're leading a team, the other is if you're part of one. Many people don't think about teamwork enough - if they're not a manager, they think it doesn't apply to them all that much. Yet most people would like to define themselves as a "good team player": a desirable trait in any business.
