How To Use Microsoft Visio To Reverse Engineer A Database

It is extremely important to document a database in order for other people to fully understand it. Sometimes you will be off work for a number of reasons and someone else may need to perform a task and require documentation for help. When you come to train someone else or hand over the database to another party then documentation is a vital resource in the learning curve and will prevent misunderstanding later.

How To Use Visio 2010 To Create A Timeline From Project

Visio is a great resource for creating advanced diagrams. It may be that you already have data available in another programme such as Microsoft Project and would like to create and personalise a diagram using this data. It would be tedious and time consuming to have to enter all the data and build the timeline manually Visio. Instead, Visio has a feature which allows the user to import the data directly from Project. An automatic timeline or Gantt chart will be created which can then be edited, formatted and personalised as required.

How To Set Practical And Meaningful Objectives

These days it is likely that whatever kind of work you do, appraisals will be used as a method of measuring and controlling current and future performance for employees. All levels of workers have them from shop staff working on the shop floor to office managers. They are meant to allow people to review their performance and make improvements, motivate individuals and set objectives. How can you go about setting objectives that are practical and meaningful and benefit the company as well as the employee?

How To Write A Meeting Agenda

When attempting to hold a productive meeting, the most important thing you can do is to create an agenda. This should be sent to all attendees well in advance to give everyone time to examine the topics and prepare what they need to say. Agendas highlight the purpose of the meeting and the decisions that need to be made. Without an agenda meetings lack focus and decisions will not be made since attendees will go off on tangents and fail to understand what needs to be achieved. I should be clear at this point that there is nothing wrong with a brainstorming session where an agenda would not be required, but for more formal meetings with specific questions, problems and issues that need attention and solution, an agenda should always be given.

Understanding The Elements Of A Successful Presentation

When designing any kind of presentation, there are several key things to consider before you begin. The first is the audience. Who are you presenting to? This will drastically affect the way you present and the style and language you use. If for example you are presenting road safety to a group of ten year olds, you will use simple language and visual aids. This will be vastly different to the way you would present annual revenue figures to a group of people from your own company. In this way you would be using industry jargon and a PowerPoint presentation with graphs. The audience should be the primary consideration because they are the ones who must understand your presentation. It doesn't matter how good you think it is, what matters is how good they think it is.

Is Health And Safety In The Office Truly Important?

As a manager, one of your responsibilities is the burden of health and safety. Many people feel that health and safety has gone too far into the ridiculous and perhaps sometimes they are right. Regardless of your feelings about health and safety it is your responsibility to get it right and if you do not then there may be dire consequences. Is health and safety in the office truly important or can it be dismissed as the over-protective nanny state?

What Is Office 2010 And How Does It Work?

Basically put, Office is a series of programmes designed to make a variety of everyday office tasks easier. Think about what kind of things an office worker might be doing. Instead of doing them manually, they now use a computer programme to complete them simply and efficiently. This could be anything from manually writing a letter to creating a manual data entry form to pass around the office. Office therefore streamlines a business by reducing the amount of time spent on each task. Let's breakdown Microsoft Office to explore the different ways it can be used.

How To Manage Your Fear Of An Office Upgrade

Fear of change is perfectly normal. On the current system you know exactly where everything is and you feel in control and comfortable. Using Separate Office Programmes Together

I have often found that different kinds of office workers will use maybe one or sometimes two of the Microsoft Office programmes and the rest will be left as a mystery. The advantage of this suite is that you can learn what you need to know and stick with it rather than learning a pile of irrelevant information you will never need. If you are an administrator then chances are you will only ever use word whereas an accountant may use Word and Excel. Office allows the user to choose the relevant packages to learn, but also makes it easy to use a suite of packages if you are more of a 'jack of all trades.'

Tips On Sharing Your Project Data

A diligent project manager will know how to report on their progress quickly and easily. Is that person you? Remember, one of the keys of teamwork is collaboration and sharing of data. Everyone else on your team (and your boss!) needs to be kept up to speed on your work. If you liaise with external contacts a lot, the same goes for them. The problem is when the other person hasn't got the same project management software as you, or has Project missing from their version of Office (for example, the Student and Home editions). You still need to share your data, so rather than asking them to buy a piece of software, you should be flexible and learn that Project and Office already have existing tools and ways to share.

Managing And Understanding Tasks In Project

In order to manage how you input tasks (and how Project assigns units of duration or resources to them), you first have to understand the kinds of tasks Project works with, and how it uses algorithms to then further change different elements of the project. Although it all sounds technical, some real-world examples, rather than just talking theoretically about how to project manage, will create a far better understanding of this system and how it can let you do YOUR tasks better, too.

Using The New Document Templates In Microsoft Word

Word has many different kinds of uses for everyone. In an office environment it can be used to type letters, envelopes, brochures, faxes and many more. Before I became proficient in word I would often take pains to design my letters myself and check everything was in the right place. Nowadays I save valuable time and energy by using the word templates already in place. They are very simple to access, in Word 2000 for example, select 'File,' then 'New' and the user will be presented with a range of tabs. This is an organised way of ordering the template documents into logical groups so the user can easily select what they need.

Using Word To Create The Perfect Idiot Guide

Every job sometimes requires documentation. Most people have procedures they follow every day. If a person were absent for any length of time then someone else would need to complete the tasks. The tasks therefore need to be coherently documented with instructions anyone could follow. For people who create software, documentation detailing how the client should use it and how colleagues should support the client using it are essential. These are just some examples of when simple, clear documentation is required. I have found that the most effective kind of documentation is the simple step by step 'idiot guide' which includes screen shot images where necessary. My favourite package to create such guides is Word.

Using Word To Write Great Letters

The first step when writing letters is to consider the recipient. What kind of letter are you writing? Is it a formal letter to a business person or a casual letter to a friend? The type of letter you are writing will affect the style, the layout and the content. You would not write a personal letter to a business associate for example without looking extremely unprofessional. This is important to decide on the way you need to get the message of your letter across. If you are a lawyer writing to a client about a legal topic then using a letter full of legal jargon without an explanation will be confusing and the letter will not be understood making it pointless. If you are a lawyer writing to another lawyer then the legal jargon would be appropriate.

How To Import Data Easily Into Access 2010

It is usually the case that when creating a new Access database, data already exists. It may be that a company has many different spread sheets where they store contact details and sales information. When this is the case it often becomes necessary to put this information into a database so more advanced reporting can be created as well as other benefits a formal database can provide. With this situation a database will be designed and created, but a user will not want to manually add individual records into the database.

How To Use The Analyze Table Tool In Access

An experienced database designer knows there are certain rules when deciding what information to put in one table. People paid to clean up after them will know the huge problems mistakes often caused by sloppy design can cause. Take for example, a sales database. Each sale has some sale information such as sale date, sales person and sale value. Also recorded for each sale is the customer name and address. Now a novice user who has had little on or no training may well decide to put everything in the one table. This means that each time a sale is made the user must manually enter the full customer and salesperson details regardless of how many time this has been done before.

Understanding Primary And Foreign Keys In Microsoft Access

Access is designed as a simple way to build databases for people who are not necessarily technically minded. You do not have to learn an extensive and complicated coding language to create or manage the database. It has an advantage over excel as statistics can be outputted along with reports at the touch of a button via a professional front-end you can create through the use of simple wizards. It is far easier to manage and protect the data in Access than in Excel and can provide a professional front end to your data allowing complete data entry control. There are a few concepts it is important to understand before designing and building the database. One such concept is the use of Primary and Foreign Keys.

Cheating With Access Templates

There are many reasons to use Access templates. It may be that you are a novice user of Access and do not have the experience to design a database yourself. It may be that you do not have the time and need a simple generic database quickly. It may be that the templates simply do what you require so there is no point in spending lots of time designing and building your own database. Whatever the reason there is no shame in choosing to use a template instead of your own designed and built database. This article will explain why!

How To Successfully Design An Access Database For A Paying Client

Attempting to create an Access database from scratch can be a daunting process, particularly if you are a beginner. Experienced users will be able to tell you of the many mistakes we all make while learning particularly on a trial and error basis. Most designers of databases will spend most of their time on the design as this is the tricky bit. It is actually relatively simple to build a database, but designing it is the tricky part. One reason for this is that users do not know what they want or they have an idea, but do not express it to you clearly. If you rush the process or do not understand their requirements fully then you are in danger of building them a database which will be redundant before you have even begun. The first step in database design is to fully understand the user requirements.

How To Convert Text To Columns In Excel

I have sometimes needed to create a working data sheet from a large section of text. As an analyst and data organiser it is often your responsibility to take unformatted information and turn it into useful, meaningful, organised and workable data. When might it be required? Some databases extract data in the form of text files. Not all users are experienced and it is entirely possible that clients will send data in this format. Rather than making them re-do it to your required format, it is much better if you can transform it yourself. Another reason may be that data is on a worksheet, but needs to be formatted properly to be of use. An example would be a column containing the full name of clients. In order to put the data from the sheet into a database it needs to be in two columns called First_name and Surname. Sometimes when copying and pasting into Excel, Excel places the data into one column rather than separating it. This would also require separation.

How To Insert, Delete, Format, Hide, Copy And Protect Worksheets In Excel

Rather than creating a separate file for each Excel document, it may be easier and more efficient to combine them on one Excel Workbook. The tabs can then be formatted to help navigate through and organise the data. Excel automatically provides the user with three worksheets. This may not be enough if you have a lot of related data and information that needs to be separated into sheets. Nobody wants to have everything on a single worksheet as it can be confusing and difficult to locate the information you require. If this is the case it may be worth learning how to insert worksheets. Once you have a lot of worksheets, the standard names of Sheet1, Sheet2 etc. may not be useful. It is possible to rename and format the sheet names as required.

How To Use Excel To Create Large SQL Insert Statements

When adding records to a SQL database, simple 'Insert Into' statements can be used. This will add one record per Insert statement. It may be the case that there is no user-friendly import system set up and the records must be entered manually with this method. It is not always the case that records are received one at a time. Sometimes a large amount of data is given all at once, particularly if the database is in the initial set up stage. Data is often given in the format of an excel spreadsheet and it is up to the user to import the data into the database. It would be impractical and time consuming to update an individual insert statement for each record. Instead it is possible to use excel as a resource to quickly and simply create a series of Insert statements which will also minimise human error.

Mastering Page Layout In Excel

Working out which way around you want to look at your spreadsheet sounds deceptively simple and also something too easy for most people to consider. You type a page in Word, it prints out on a page. If you produce a report with Project, it comes out like a report. However, even to someone who considers themselves a comfortable Excel user, getting the data to look right both on the screen and the page can be a frustrating challenge - a minor one, but a significant one (who wants to admit that they can build an entire spreadsheet with ease, but ends up swearing by the printer when it comes out the wrong way around, sliced by page breaks, or can't even tell if they've run to more than one page on the screen because of the mass of cells?). We've all been there once - and a small bit of knowledge is all you need.

Sorting Out Your Data In Excel

As you get more familiar with Excel, no doubt the kind of spreadsheets you produce get bigger and more complex. Soon you're managing huge projects or tasks in a single worksheet or workbook. Eventually, the search and find functions have you wasting time trawling, because there's so much data to plough through (did you know that you can have almost seventy thousand rows? Ouch!). Using Dates Within Excel

Dates can be daunting for the beginner within Excel, particularly as Excel stores dates as decimal numbers and not actual dates. This is due to the fact that many people need to use date cells within formulas. A simple example would be a worksheet where there are two columns, one as a start date of a project and the next as an end date. If someone needed to calculate the length of a project then they could use a formula to easily find the total project time. Excel stores dates as numbers so these calculations can be performed. This does mean that you will need to consider date formats when using dates within your worksheet. If you accidentally format the column as number type then all your dates will appear as meaningless numbers!

Getting Your Project Started With Project

Project management is a full-time role in many businesses, sometimes involving whole teams, all involved in managing the same major project. Keeping track of all the elements of a project can be difficult. Think of all the separate components of a project: dates, staff, resources, skills required, meetings, deadlines, budgeting etc. You may well want to plan your project on bits of paper or in one Word or Excel document, but before long you'll have swamped yourself. Also, what if the parameters of the project change? You don't want to be crossing out scribbles on paper or combing through your one big spreadsheet to make corrections. With Project Management software such as MS Project, you can easily manage all the separate elements.

The Jargon Of Project

The beauty of Microsoft Project and other Project Management software is that you don't really have to be a project manager to make use of them for many tasks at work. If Project has come with an Office package that you've bought, or it's on your work computer but you don't think your role is conducive to using it, think again.

Using And Understanding Emotional Intelligence (EI)

Everyone has heard of an IQ (Intelligence Quotient), but there's also an EQ (Emotional Quotient), due to the fact that some people can be extremely intelligent but unemotive (oh, the pains of genius!). But seriously: before you dismiss "emotion" as a negative thing, think about things that are measured by our feelings instead of pure academic intelligence. Common sense is one and that's a much valued trait in business and life in general. So is empathy. Sympathy. The ability to listen and be heard. They're all dependent on emotions, so improving your EI is in the best interests if you and your colleagues want to get the best out of each other.

Keeping Ahead Of The Competition With Dreamweaver

There was once a simpler time, when a shop or an office would suffice as the public face of a business. Customers or clients would come through the door and the goods or services offered would be available therein. No longer and nostalgia won't pay the bills.

Saving Time With Server Side Includes

There are many ways to save time if you're a web designer. Time, after all, is money - and saving time also eliminates some of the more boring jobs when coding with Dreamweaver. Templates and cascading style sheets are two of the most common ways for a web designer to save time. The third is Server Side Includes. While sounding very technical, this is a very easy way to save yourself from repeating information and code when you have a website with 'samey' or repetitive text, images and so on. Since most websites do repeat themselves in places, it's always good to know that there's a small, easy solution.

Making Your Website Accessible To All

Many people don't automatically consider disability as a hindrance in surfing the web (and nor should they - it isn't!), but strangely webmasters often overlook some of the most obvious practical ways of making a site accessible to everyone. There's obvious benefit to you, the site owner - you'll have more visitors. A great many people are surfing the web who are disabled - and it's not just the visually impaired, who are the first group to spring to mind (even most non-disabled people have heard of Jaws, the screen reading software). With just a few small tweaks, you can make your website much more accessible - and therefore accessed more.
